ALICE is a small but growing organization with over 25 team members in the Secretariat and a highly motivated Executive Group, members, and partners.
ALICE is seeking a Junior Secretariat Operation Support to join the team on a full-time contract. This role combines operational, administrative, and stakeholder support tasks, offering a valuable opportunity for a junior profile to gain hands-on experience in an international and innovation-driven environment.
You will work closely with the Senior Manager for Administration, Finance, HR and IT Systems, as well as the broader Secretariat team, contributing actively to day-to-day operations.
The main tasks associated with this position will involve:
- Supporting membership administration, including maintaining reliable member data, invoicing processes, bookkeeping support, and updates of the ALICE contact database.
- Interacting with ALICE members and stakeholders through email and other communication channels, ensuring timely and professional responses.
- Contributing to the improvement and documentation of internal business and project management processes.
- Supporting compliance with the General Data Protection Regulation (GDPR).
- Assisting in Secretariat operations, including management of the general email account, coordination of support activities, and follow-up of time recording and timesheets for projects.
The successful candidate will be expected to have:
- Studies in administration, accounting, business, or logistics.
- Knowledge of Microsoft Office tools, including Teams, SharePoint, and collaborative environments.
- A positive attitude and ability to work in multicultural and multistakeholder environments.
- Strong analytical and writing skills, with the ability to learn quickly and work with empathy.
- A problem-solving mindset and attention to detail.
- Responsibility, autonomy, flexibility, and the ability to work both independently and in a team.
- Knowledge of project management is a plus.
- Excellent command of English (spoken and written).
- Knowledge of at least one Belgian national language (French or Dutch, minimum B2); Spanish is a plus.

- Full-time contract with a gross salary base of €28,000 – €32,000 depending on experience and fit to the role.
